Visualize and Analyze the Data

This domain accounts for 25–30% of the official PL-300 exam (our practice allocation: 25%) — the largest single domain. It tests your ability to build effective reports and dashboards in Power BI Desktop and the Power BI service, apply built-in AI and analytics features, configure navigation and interactivity, and understand the distinctions between reports, dashboards, and paginated reports. Expect scenario-based questions that ask you to pick the right visual, filter type, or feature for a stated business requirement.

Choosing Visuals; Formatting, Conditional Formatting, Tooltips

Visual Selection Fundamentals

Choosing the correct visual is a tested skill. The exam presents a requirement and expects you to identify the best-fit visual.

RequirementBest Visual
Show part-to-whole proportionsPie / Donut chart
Compare categories over timeLine chart or clustered bar
Show distribution of a numeric fieldHistogram (custom) or box plot
Display a single KPI value vs. targetKPI visual or Card
Show geographic distributionMap / Filled Map / Azure Maps
Show relationships between two numeric fieldsScatter chart
Show hierarchical data proportionsTreemap
Show progress toward a goal (gauge)Gauge visual
Display tabular data with totalsMatrix or Table
Show decomposition of a measureDecomposition Tree

Formatting and Conditional Formatting

  • Format pane is the primary place to configure colors, fonts, borders, shadows, and titles.
  • Conditional formatting applies dynamic color, icons, or data bars to Table and Matrix visuals based on rules or field values. It can also be applied to certain chart element colors.
  • Conditional formatting sources: field value, rules (ranges), or color scale (gradient).
  • Data bars in a matrix/table provide in-cell bar charts — no separate visual needed.
  • Icons (conditional) require you to configure rules with at least one threshold.

Tooltips

  • Default tooltip: shows the measure/field value on hover — enabled automatically.
  • Report page tooltip: a custom report page used as a tooltip. Requirements:
    • Page must be set as Tooltip page type (Format Page → Page type → Tooltip).
    • Page canvas size should be set to Tooltip size (default 320 × 240 px).
    • Assign the tooltip page to a visual via Format visual → General → Tooltips → Type: Report page.
  • Modern tooltips (default ON in newer versions) show a styled default tooltip.

Common traps

  • The exam may ask how to show additional detail on hover without creating a new full page — the answer is report page tooltip, not a drillthrough page.
  • Conditional formatting on colors is available for bars/columns but you must use "Format by → Field value" with a measure that returns a hex color string.
  • Tooltip pages must have Page type = Tooltip set; forgetting this means the page won't appear in the tooltip assignment dropdown.

Worked scenario: A manager wants a bar chart that shows monthly sales, and when hovering over a bar, displays a mini breakdown by product category. Solution: Create a new report page, set its Page type to Tooltip, add a table or bar chart of category breakdown, then assign it to the monthly sales bar chart's tooltip setting.

Slicers, Filters (Visual/Page/Report), Sync Slicers

Filter Types

Bold terms: Visual-level filter, Page-level filter, Report-level filter, Drillthrough filter.

Filter TypeScopeWhere Configured
Visual-levelOne visual onlyFilters pane → "Filters on this visual"
Page-levelAll visuals on one pageFilters pane → "Filters on this page"
Report-levelAll pages and visualsFilters pane → "Filters on all pages"
Drillthrough filterTarget page onlyDrillthrough well on target page

Slicers

  • Slicers are visuals that filter other visuals on the same page by default.
  • Types: List, Dropdown, Between (numeric/date range), Relative date, Relative time.
  • Single select vs. multi-select: controlled by slicer settings; hold Ctrl for multi-select in list mode by default.
  • Select all option can be toggled in slicer formatting.

Sync Slicers

  • Sync slicers allow a slicer to filter visuals on multiple pages simultaneously.
  • Accessed via View → Sync slicers panel.
  • Two independent checkboxes per page:
    • Sync (chain icon): slicer selection propagates to/from this page.
    • Visible (eye icon): slicer is displayed on this page.
  • A slicer can be synced but not visible — it filters the page silently.
  • A slicer can be visible but not synced — it shows on the page but changes don't propagate.

Common traps

  • A report-level filter and a synced slicer are NOT the same: report-level filters are in the Filters pane (hidden from consumers unless shared); sync slicers are interactive visuals.
  • The exam may state "users must see and interact with the filter on page 2 but it should also filter page 3 silently" — use sync slicers with Visible ON for page 2 and Sync ON / Visible OFF for page 3.
  • Drillthrough filters are not listed in the regular Filters pane of the source page; they only appear on the target page.
